Cancellation Policy
This policy establishes expectations for all volunteers participating in Explore the Magic of Motion events and activities. Volunteers are expected to honor their commitment once scheduled for an event. Volunteers may cancel their participation up to two (2) weeks prior to the event date. Requests to reschedule must be made no later than four (4) weeks prior to the event. Cancellations or rescheduling requests made outside of these timeframes may not be accommodated except in cases of emergency or at the discretion of Explore the Magic of Motion. Volunteers are expected to behave in a professional, respectful, and responsible manner at all times. This includes treating participants, staff, partners, and fellow volunteers with courtesy and respect, maintaining appropriate boundaries, and following all instructions provided by event organizers. Harassment, discrimination, abusive language, or inappropriate behavior of any kind will not be tolerated and may result in immediate removal from the program. Volunteers must comply with all applicable local, state, and federal laws, as well as all organizational policies, venue rules, and safety guidelines. Volunteers may not engage in illegal activities or actions that could endanger themselves or others while representing Explore the Magic of Motion. To protect the wellbeing of all participants, volunteers must not attend or participate in any event if they are experiencing symptoms of illness, including but not limited to fever, vomiting, diarrhea, or contagious conditions. Volunteers agree to follow all health, safety, and emergency procedures as directed by event staff. Volunteers acknowledge and agree that photographs, video, and audio recordings may be taken during events. These materials may be used by Explore the Magic of Motion for educational, promotional, marketing, or documentation purposes without compensation. Volunteers who do not wish to be photographed must notify organizers in advance. Confidentiality and Non-Disclosure (NDA) Volunteers may have access to proprietary materials, curricula, activities, participant information, or other confidential content belonging to Explore the Magic of Motion. Volunteers agree that all such materials are confidential and may not be copied, shared, distributed, taught, or used outside of officially sponsored Explore the Magic of Motion events without prior written permission. This obligation continues even after the volunteer relationship ends.
